Most founders check competitors weekly for about three months, burn out, then check them once a quarter when something forces it. The issue isn't discipline — it's scope. A competitor check that takes two hours gets skipped; a check that takes fifteen minutes runs for years. This is how to build the shorter one.
The three surfaces — and only these three
The trap is trying to monitor everything: product updates, blog posts, press, social, changelog, webinars. The list is infinite and the value per surface is low. The fixed list below is the minimum viable set that catches the moves that matter.
Scan only these three, every time
Three surfaces per competitor. Ten competitors. Thirty surfaces in fifteen minutes means thirty seconds per surface. That's deliberately tight. It forces the reviewer to look for what's different, not to read carefully — which is exactly the right mode for monitoring.
The note format — three things, max
The second discipline: fixed note format per competitor. Three notes, maximum, per scan. More than that and the monitoring becomes a research project; the goal is signal, not comprehensiveness.
- One sentence on what changed, if anything. Example: "Changed the 'Pro' tier name to 'Team,' added a new $2K/mo bracket above 'Enterprise.'"
- One sentence on the signal, if the change has one. Example: "Moving upmarket; the new bracket is aimed at the deal size we're chasing." If the change has no signal, leave this blank; most changes don't.
- One route, if the signal warrants one. Example: "Route to battle cards; update the 'Enterprise' positioning." If no route, leave blank.
Three sentences per competitor. Ten competitors. Thirty sentences total per week. The whole log fits on one page.
The time-box is the discipline
Set a literal timer. Fifteen minutes from the first competitor opening. When the timer goes, stop. Anything that needed more time is either (a) not important enough to pursue this week, or (b) important enough to route to a real project with a real owner. The scan itself never grows beyond fifteen minutes.
The time-box also controls the competitor count. Ten is the ceiling. Past ten, fifteen minutes isn't enough; the discipline breaks. If you feel you need to monitor fifteen competitors, drop five — either they aren't really competitors, or they are and you need to graduate to tooling.
The routing discipline
Monitoring produces nothing if the notes don't route somewhere. A weekly scan that collects signal but never acts on it is a reading habit, not a competitive practice. Three destinations:
- Battle cards — for changes that affect how your sales team should talk about a specific competitor. Updated within two weeks of the note.
- Positioning audit backlog — for category-level shifts that affect multiple competitors at once. Reviewed at the next quarterly positioning audit, not acted on immediately.
- The ignore log — for changes you noticed and deliberately decided not to act on. Keeping this list is what prevents re-litigation the next time the same signal surfaces.
Every note from the scan ends up at one of the three. If it doesn't, the note was noise and shouldn't have been captured.
The graduation path
Fifteen minutes on ten competitors works for a year, sometimes two. Then it breaks. The signals that arrive through manual scanning start missing the changes that happen between scans — a pricing page rewrite on a Tuesday that's reverted on Thursday, a CEO LinkedIn post that gets deleted, a careers page role that's filled and removed before the Friday review.
Graduate when one of three things happens: competitor count needs to go past ten, surface count needs to go past three, or the rate of change is faster than weekly.
